HRMS and payroll for factories — shifts, overtime, contract labour and the shop floor

Factories need more from an HRMS than leave and payslips. JobMyIndia handles rotating shifts, attendance at the plant gate, overtime at the statutory double rate, contract workers alongside permanent staff, canteen deductions, gate passes and accident registers — in one system that also runs payroll and compliance.

What is different about HR in a factory

  • Shifts decide pay. A, B, C and general shifts rotate weekly; night shifts and weekly-off work change how hours are paid.
  • Overtime is regulated. Overtime is paid at twice the ordinary rate of wages, so hours must be captured accurately and approved.
  • Many workers are not on your payroll. Contract labour often outnumbers permanent staff, but you still need to know who is on the floor.
  • Attendance happens at the gate. Hundreds of people punch in a few minutes at shift change.
  • The plant runs its own registers. Visitors, material gate passes, canteen and accidents all need records.

How JobMyIndia handles it

  • Duty roster & shift rotation

Plan rotating shifts, handle shift-change requests with approval, and record cross-shift punches for review.

  • Gate attendance

A face attendance kiosk on a tablet or your existing biometric devices at each gate.

  • Overtime to payroll

Overtime hours are computed from punches against the shift and paid through payroll; you can require approval before they are paid.

  • Contract labour

Contractors, their deployed workers and their PF/ESIC compliance in the contract labour module.

  • Canteen

Canteen orders, subsidy rules and vendor invoices, with employee deductions flowing to payroll.

  • Gate passes

Visitor and material gate passes with approval by authorised plant roles.

  • Accident register

Record workplace accidents and follow-up in one register.

  • Licences & credentials

Track compliance obligations and expiry of employee licences and certifications with alerts.

  • Apprentices

ITI and diploma apprentices under NAPS or NATS with separate stipend sheets.

Payroll and statutory rules factories get wrong

Three calculations cause most factory payroll disputes: overtime (the base and the double rate), loss-of-pay on a month with weekly offs and holidays, and PF when a worker's wages cross the ceiling mid-month. Our guides on overtime and LOP and PF and ESIC explain each with examples.

Minimum wages for scheduled employment are set by skill category and zone and are revised with dearness allowance. JobMyIndia flags employees paid below the configured minimum wage for their category.

Frequently asked questions

Can permanent and contract workers use the same attendance kiosk?

Yes. Both can be registered on the same kiosk; their records stay separate for payroll and for contractor compliance.

We have multiple plants. Can each plant have its own settings?

Yes. Units and branches can have their own admins and shift assignments under one company account.
